Digital invitation in the confirmation email: what parents can expect
PDF or image attached when the booking is confirmed, if you have an active template. Realistic expectations without promising automatic magic.
Many parents search for a “birthday invitation ready to send”. Venues that offer a file in the confirmation email save them work (Canva, WhatsApp, printing) and stand out from those who only send time and address.
The key is to explain what your system actually does — without promising an automatic designer if you have not configured it yet.
What the invitation usually includes
- Child’s name, age, date and time.
- Venue name, address and contact details.
- Your logo or brand image.
- Short copy (duration, what to bring, basic rules).
It can be generated as a PDF or image and attached to the confirmation email when the template is active and the design is set up.
What it is not (and worth saying on your website)
- It does not replace fully custom design per family without a template.
- It is not sent if confirmation email is not configured or the customer leaves no valid email.
- It does not replace your cancellation policy or package and price details.
Value for the venue
- Fewer “can you send something for the class group chat?” messages on Instagram.
- A more professional brand in parents’ hands (they share the PDF in school groups).
- One more reason to book on the web instead of WhatsApp only.
How to launch it well
- Test the template on mobile (parents open it on their phone).
- Match the tone of your website and social channels.
- Run a test booking to check the attachment and spam filters.
