Birthday packages by age: how to set them up at your party venue

Age ranges, duration, extras and clear pricing in the booking widget. Guide for party venues that want to stop improvising on every call.

“How old are they turning?” is the first question on almost every party venue call. And for good reason: a 4-year-old party is not the same as a 10-year-old party. Duration, entertainment, comfortable capacity and extras all change. If your site only shows “basic party €200”, parents call you — and you explain the same thing twenty times on Saturday.

Setting up birthday packages by age in your booking system is not bureaucracy: it is selling clearly, preparing each event better and showing only suitable options in the widget.

Why one package “for everyone” costs you money

  1. Different expectations: ages 3–5 need gentle games; ages 9–12 want challenges, karaoke or laser tag.
  2. Wrong duration: 90 minutes may be enough for little ones; teens want 2–3 hours.
  3. Mismatched extras: face painting for 11-year-olds feels off; no entertainer at 5 also feels off.
  4. Prep mistakes: team sets “little kid” décor for a group expecting something else.

Age-based packages align price, time and content before the deposit is paid.

What each package should include in admin

  • Clear name: “Ages 4–6 — Jungle adventure” (not just “Pack B”)
  • Slot duration (+ cleaning buffer if used)
  • Base price and included guests
  • Optional extras: catering, cake, entertainer
  • Recommended deposit — see collecting deposits online
  • Form fields: exact age, allergies, final guest count

Common mistakes

Too many packages (6–8+) — confuses the site. Prefer 3–4 clear bands and extras.
Overlapping bands (“4–7” and “6–9”) — use clean limits: 4–6, 7–9, 10–12.
Peak pricing only on WhatsApp — set seasons in the system.
Hidden guest limits — state “up to 15 kids included, €X per extra” in the description.
Hot Saturday slots only on chat — if 5 p.m. is widget-only, do not give it away on WhatsApp.
