Automatic booking reminders: fewer “what time was it?” calls

Emails before the party with time, room and map. Configure several reminders, not only one fixed time.

Saturday at 11:00 a.m. the phone rings: “Hi, what time was the party?” Not bad faith — busy lives. But each call like that interrupts setup or door duty.

Automatic reminders are not a software luxury: they are digital reception repeating what is already in the confirmation.

What a good reminder should include

  • Date, start time (and end if applicable).
  • Birthday child’s name if you collect it in the form.
  • Address or link to the venue map.
  • Deposit paid and balance due, if applicable.
  • Venue phone for real emergencies.

It does not have to be only “24 hours before”

Many businesses suit several notices, for example:

  • 48 hours before (family planning).
  • 24 hours before (mental confirmation).
  • 2 hours before (leaving home).

In FastCore reminders are configurable in the dashboard — not one fixed timing for everyone.

Effect on no-shows and late arrivals

They do not remove all no-shows, but they reduce:

  • Arrivals at the wrong time.
  • Parents searching for the venue at the last minute.
  • Confirmation calls that flood Friday and Saturday.

Combine with clear cancellation policy and online deposit.

Practical requirement

Emails need sender and templates reviewed (legal text, logo). If mail lands in spam, the reminder fails — test delivery to Gmail and Outlook when you configure.
